Inbox Chaos? Here's How to Organise Client Emails in Zoho Mail

For tradespeople who want to run smoother, more professional businesses without losing their sanity.
If your email inbox looks like a war zone, you’re not alone. Messages from clients, suppliers, missed newsletters, and the odd invoice all piling in — no wonder you can’t find what you need. I used to miss important emails all the time, just because they were buried.
Now I use Zoho Mail with a simple folder, tag, and filter system that keeps things clean — and it even works well when sharing inboxes with my assistant.
📥 Step 1: Set Up a Professional Email Address
If you're still using a Gmail, Yahoo, or Hotmail address — it’s time to upgrade. You can use Zoho Mail with your domain name (e.g. you@yourbusiness.co.uk) to instantly look more professional.
- Use Zoho Mail for free (or very low cost) with your own domain
- It integrates well with CRM, Bookings, and other Zoho tools
- Better deliverability and trust with clients
🏷️ Step 2: Use Folders and Tags to Group Emails
Here’s how I break things down:
- Folders: Clients, Suppliers, Estimates, Invoices, Website Enquiries
- Tags: Needs Analysis 🧐, Estimate Sent ✍️, Booking Scheduled 📆 (these match my CRM pipeline)
This helps me and my assistant see what’s what — fast.
⚙️ Step 3: Automate It with Filters
Use rules (filters) to automatically tag or move emails based on:
- Sender address (e.g. anything from
@mywebsite.com) - Subject line keywords (“estimate”, “job enquiry”, “invoice”)
- Client name or job ID if included
It takes 10 minutes to set up and saves hours of searching later.
